Third-party pricing in Xactimate desktop

Third-party pricing allows users to apply alternate pricing from other companies to certain line-item components. The items still use Xactware pricing for labor and equipment but use third-party pricing for the material that is replaced. You can find the available third-party pricing options here.Third-party pricing must be enabled in Xactimate Admin before it is available in Xactimate desktop. Review Third-party pricing in Xactimate Admin to learn how to enable third-party pricing in Admin.

IMPORTANT: To request third-party pricing, you must meet all of the following requirements:
  • The project is an assignment.
  • There is a claim representative selected in Claim Info.
  • The property address has been added to Claim Info.
  • Third-party pricing has been enabled in Xactimate Admin for the project profile.
  • The line item requested uses one of the components selected in Xactimate Admin.

Request third-party pricing

You can apply third-party pricing for items through the Quick Entry pane, the Item spreadsheet, and the Component list. To reach the Request third-party pricing window, complete one of the following:

Open the Request third-party pricing window

Quick Entry
  1. In the left navigation pane of an open estimate, select Estimate.
  2. Select Estimate Items.
  3. Select the Items tab.
  4. In the Quick Entry pane, enter an item that requires third-party pricing (as determined in Xactimate admin).
  5. On the right, select Unit Price from the list of pages.
  6. Select Component pricing is required from a third party vendor.

Item spreadsheet
  1. In the left navigation pane of an open estimate, select Estimate.
  2. Select Estimate Items.
  3. Select the Items tab.
  4. In the Item spreadsheet within the Quick Entry pane, find the item that requires third-party pricing.
  5. In the Request third-party pricing column, select Required.
Note: If the Request third-party pricing column is not visible, add it by right-clicking one of the visible column headings and then selecting Show "Request third-party pricing" Column from the drop-down menu.

Component list
  1. In the left navigation pane of an open estimate, select Estimate.
  2. Select Estimate Items.
  3. Select the Components tab.
  4. In the Components List pane, find the item that requires third-party pricing.
  5. In the Request third-party pricing column, select Required.

Request data through the Request third-party pricing window

  1. In the Request third-party pricing window that opens, select the checkboxes of the items for which you need to request pricing.
  2. Select Request.

Note: It may take a few minutes for Xactimate to send the request. While you wait, Xactimate displays the following screen. You cannot continue to work in Xactimate while this request processes.

If the request fails, you may be asked to try again.

Once the request is sent successfully, a window appears confirming receipt of the request. In the item spreadsheet, the Request link changes to Received.

After the third party finishes the request, the new pricing will automatically load into Xactimate, and the Required text changes to Received
