Xactimate Admin glossary
Xactimate Admin Term | Definition/Explanation |
Instance admin | An instance admin can configure settings for their instance. |
Profile owner | A profile owner can configure settings for their profile. |
Standard licenses | Standard licenses grant access to only one version of Xactimate (online, desktop, or mobile). Instance admins can track the number of Standard licenses available in the Users tab. |
Pro licenses | Pro licenses give users access to all platforms of Xactimate (online, desktop, and mobile). Instance admins can track the number of Pro licenses available in the Users tab. |
Inspector licenses | The Inspector license gives users access to Xactimate mobile only. Within Xactimate mobile, users can access Sketch, claim info, photos, forms, reports, and notes. Estimation, Xactimate desktop, and Xactimate online are not included. |
XactContents licenses | This license grants users access to XactContents. XactContents licenses must be purchased as an add-on license to Xactimate. |
Time and material license | The Time and Material license is an additional license that grants users access to extra features, including Time and Material worksheets, component-based estimating enhancements, and Time and Material price list items. |
O&P | O&P stands for overhead and profit. Overhead consists of expenses that are not directly attributed to the work being performed. Profit is the added cost of financial gain inside a project. You can set O&P defaults in the Preferences tab in XactAdmin. |
Export to email | The Export to email option is on the Reports card in the Preferences tab. When Export to email is enabled, users in Xactimate can choose to export reports via email. Instance admins can also write default text that will appear in the body of the emails. |
Vendor exchange | Instance admins can select companies as third-party vendors in the Preferences tab of XactAdmin. After the third parties are set, users in Xactimate can interact with these vendors to receive pricing information. |
Release cycle | Every update to XactAdmin and Xactimate is a release. A release cycle is the time between each release. This typically (though not always) lasts about a month. |
XactXpert | XactXpert allows instance admins and profile owners in XactAdmin to create rules or change existing rules. Once the rules are set up in XactAdmin, the end-user can see those rules in Xactimate. |
Verisk rules | Verisk rules function as a library and are available to all profile owners and instance admins in XactAdmin. |
Profile rules | Profile rules are custom-made for individual profiles. |
Process rules | Process rules are custom-made for our clients and run in the background. Users in Xactimate do not see these rules. |
Rule management | In Rule management, users can set custom weights for rules groups and individual rules. Rule managements is in the Rules tab of XactAdmin. |
Profile features | Profile features are optional functions and workflows that you can choose to apply to your profile. Existing profile features can be customized to fit your needs, and new features can be tailored to the needs of your profile. |
Custom depreciation schedule | Profile owners can create a new custom depreciation schedule for material or non-material items and define a customized rate at which those items depreciate. |
Profile forms | Profile owners can create custom forms that are available to all users in their profile. Profile owners can choose what fields to include, select groups, and add customized names and descriptions to their forms. |
Xactware forms | Xactware forms exist across Xactimate, and simply need to be associated with your profile to appear there. You cannot edit Xactware forms; if you need to make changes, contact Xactware Professional Services. |

Users tab | The Users tab allows instance admins to manage existing users and add new users. This tab displays the instance users' Xactimate ID, their last log in date and time, the security group assigned to individual users (if any), and more. |
Security groups tab | In the Security groups tab, instance admins can assign users to groups with various access rights. These access rights include but are not limited to administrative rights, depreciation rights, data transfer rights, and more. |
Preferences tab | Instance admins can set preferences to apply to projects in their instance. Some of these preferences include settings for price lists, reports, overhead and profit (O&P), depreciation, and more. |
Projects tab | The projects tab helps instance admins keep track of projects lists, in-progress projects, project names, statuses, the profile of each project, a total amount, the owner of the project, the created date, the modified date, the number of items in each each project, and more. |
Desktop updates tab | The Desktop updates tab shows a list of available updates for Xactimate desktop (X1). Instance admins can choose which updates are required for their users. |
XactScope tab | Instance admins can write scripts with questions for adjusters about rooms and areas in Sketch. |
Configuration tab | In the Configuration tab, instance owners can choose various settings for their instance. Settings include valuation modules, features, language packs, notifications, and distribute claim pricing tasks. |
Statements tab | Instance admins can create and set opening and closing model statements to be used throughout their instance. If desired, model statements can also be set by location. |
Rules tab | In the Rules tab, instance admins can import or export rules, manage existing rules, set a rule's weight, and add other rule settings. |
History tab | This tab shows a history of users in your instance logging in and logging out of Xactimate, along with other user information. |
Payment Tracker | Payment Tracker allows users to record and track ACV/RCV, advance payments, receipts, and other important payment information. |

Depreciation defaults | In the Preferences tab, users can choose defaults for depreciation. You can choose between recoverable and non-recoverable depreciation and the way depreciation is measured, whether by age and condition, percentages, or amounts. |
Discounts tab | Profile owners can add new percent discounts and assign them to locations and material codes. |
Statements tab | Profile owners can create and set opening and closing model statements to be used throughout their profile. If desired, model statements can also be set by location. |
Rules tab | In the Rules tab, profile owners can import or export rules, manage existing rules, set a rule's weight, and add other rule settings. |
Forms tab | In the Forms tab, profile owners can create and manage forms. Both profile forms and Xactware forms are available. |
